Capture Tenant Enquiries and Match Them to Your Properties

Share one enquiry form, collect prospective tenants and what each is looking for, then — when a room comes up — open the property to see the waiting enquiries that match its area and room type. Fill a vacancy from a warm list instead of a cold advert.

Before you start

  • Enquiries and matching are included on every plan, the free plan included.
  • It’s one shareable form per account — prospective tenants describe what they want (room type, area, budget, move-in), rather than enquiring about a single listing.
  • Matching is a shortlist you open on a property when you’re ready — there are no automatic alerts, no AI, and RentFig never contacts an enquirer for you.

The steps

1. Share your enquiry form

In Contacts → Enquiries, choose Share Enquiry Form. RentFig copies a rentfig.co.uk/enquire link to your clipboard — one link for your whole account. Post it wherever prospective tenants find you, or email it straight from RentFig. Regenerate it any time; the old link stops working when you do.

2. The tenant fills in what they want

The form needs no account from the visitor. They enter their name and contact details, the room type they're after, their preferred areas, a maximum monthly budget and earliest move-in date, and whether they have pets or smoke. It takes a minute.

3. Enquiries land in your list

Each submission becomes an entry in your Enquiries list — your warm waiting list of prospective tenants and what each is looking for. Someone contact you by phone or in person? Add them yourself with New enquiry so nobody slips through.

4. Match them to a property

When a room falls vacant, open that property and go to its Matched Enquiries tab. RentFig shows the active enquiries whose requirements fit the property's area and room type — a shortlist drawn from people who already asked.

Note: The shortlist is computed when you open the property — there's no automatic alert, and RentFig never messages an enquirer for you. You choose who to contact.

5. Carry the right one into a tenancy

When an enquiry turns into your next tenant, move them into RentFig's referencing and tenancy setup — the details they gave you carry across, so there's nothing to re-type.

Filling the vacancy

A vacancy filled from your own enquiry list is a warm start — the person already told you the area, room type and budget they want. When you’ve picked one, carry them into referencing and the application flow without re-typing anything, and pair it with a To Let advert when you need to reach beyond your list.

Which plan do I need for enquiries and matching?

None in particular — capturing enquiries with the shareable form and matching them to your properties are included on every plan, the free plan included.

Does RentFig contact the prospective tenants for me?

No. Matching produces a shortlist you open on the property when you're ready — you decide who to contact and reach out yourself. RentFig doesn't message anyone on your behalf.

Is it one form per property, or one per account?

One shareable form for your whole account. Prospective tenants describe what they're looking for — room type, area, budget, move-in — rather than enquiring about a single listing. You can regenerate the link at any time, which retires the previous one.

What does the matching actually check?

It filters your active enquiries by the property's area (local authority) and the room type the enquiry asked for. It's a filter, not a ranked or scored shortlist, and it's computed when you open the property's Matched Enquiries tab — there's no automatic alert when a new match appears.

What does the enquiry form ask for?

Name and contact details, the room type they want (HMO room, studio, or a 1- to 5-bed home), their preferred areas, a maximum monthly budget, earliest move-in date, and whether they have pets or smoke, plus a free-text note.

Is any AI involved?

No. It's a straightforward form and a filter — nothing about the capture or matching uses AI.

Where do I see new enquiries?

In Contacts → Enquiries. Every form submission lands there as a prospective-tenant enquiry you can review, match, or carry into a tenancy.
