Track Compliance Certificates — Never Miss a Renewal
Certificates expire on their own schedule — gas safety every year, EICR every five, the EPC, the HMO licence on the council’s clock. Log each one in RentFig and a daily sweep watches every expiry, emailing you in time to renew. Here’s how to set it up.

The steps
1. Add each certificate
In Compliance, add a certificate: choose the category (Gas Safety, EICR, EPC, Fire Risk Assessment, HMO Licence, Legionella, PAT — or a custom one), enter the reference, issue date and expiry date, and attach the PDF.
2. Set the coverage
Say whether it covers the whole property, a specific sub-unit, or communal areas. This matters most for HMOs, where rooms and shared spaces can each need their own certificate — RentFig tracks every one's expiry separately.

3. Choose your reminder window
RentFig emails you before a certificate expires. Set how many days' notice you want — 14 by default — so a renewal never catches you out. The reminder fires once, in time to act.
4. Let the daily sweep do the watching
A background job checks every certificate each day and surfaces anything expired or expiring on your dashboard's For Your Attention panel. Once a certificate is logged, tracking it is zero effort.
Note: New certificates are also emailed to the active tenants on that property automatically — you upload once, they receive it.
5. Renew the easy way
When a certificate is renewed, add the new one — or just WhatsApp a photo of it. RentFig reads the dates and issuer off the image and files it against the right property, so the clock resets without you filling in a form.
Frequently asked questions
Which certificates can I track?
Gas Safety, EICR, EPC, Fire Risk Assessment, HMO Licence, Legionella Risk Assessment and PAT Testing are built in. You can add your own custom categories for anything else relevant to your portfolio.
How do I get reminded before a certificate expires?
RentFig emails you before each certificate's expiry date — you set how much notice you want (14 days by default). A daily background sweep also flags anything expired or expiring soon on your dashboard, so nothing slips through.
Do I have to type in my EPC rating?
No. RentFig looks up the property's existing EPC rating by postcode from the government's open EPC data (the DLUHC Open Data Communities API) and pre-fills the record for you.
What about HMOs with separate certificates per room?
Use the coverage type when you log a certificate: whole property, a specific sub-unit (e.g. a bedsit or flat), or communal areas. HMOs often need separate certificates for rooms and shared spaces, and RentFig tracks each one's expiry independently.
Do my tenants get a copy of the certificate?
Yes. When you save a new certificate with a PDF attached, RentFig emails it to the active tenants on that property automatically — you upload once and they receive it.
What is the 2030 EPC deadline?
The UK government has proposed requiring rental properties to reach an EPC rating of C or above by 2030. It isn't law yet, but RentFig shows a days-to-2030 countdown per property so you can plan any upgrades in advance. Always check current gov.uk guidance for the latest position.
